Introducing WHSC’s New Digital Record of Training System

Fake health and safety training certificates are becoming a serious issue in Ontario workplaces; an issue Workers Health & Safety Centre (WHSC) is determined to help stamp out.

In a recent report published by Canadian Occupational Safety, organizations say they’ve uncovered cases of workers creating fake certificates online or photocopying real ones—then presenting them as legitimate proof of training. In a similar vein, the report decries the growing trend of asynchronous online training fraudulently completed by AI instead of the person presenting the certificate.

WHSC has always developed and delivered quality instructor-led training to ensure real learning takes place and validates the learner. Now WHSC is proudly introducing a new digital Record of Training System to further guard against false training credentials and so much more.

Falsified training records create extremely dangerous situations, observes Andrew Mudge, WHSC Executive Director. “Without proper, verifiable training, work hazards are more likely to go missed or unaddressed, safe work procedures are more likely not to be implemented or followed, and the health and safety of every worker in the workplace is compromised.”

Mudge adds, “While WHSC can’t solve this entire issue alone, we have and will continue to take concrete action to ensure our house and the houses of those who rely on us are in order. Our innovative digital Record of Training System helps make training documentation easier to verify—and easier to distinguish from fake.”

Accepted by Ontario’s Ministry of Labour, Immigration, Training and Skills Development, this system provides a secure way to access official WHSC training records, confirm credentials, and share proof of training quickly when needed.

Your Record of Training can now be viewed securely online—so whether you’re proving certification, checking an expiry date, or confirming what training you’ve completed, your record is right there when you need it. Consider the benefits.

    Instead of tracking multiple paper record of training certificates or plastic cards (or trying to remember where they ended up), your WHSC training records are consolidated into a single, organized point of access, available to you anytime.

    Moving between worksites or frequently changing jobs? Not an issue when it comes to your WHSC training record at least. Our record of your training has always belonged to you. But now it is easier than ever to carry it with you wherever you go.
  • Expiry status and reminders
    Your digital record shows the status of your certifications, and you’ll receive notifications when a certification is approaching expiry—helping you plan ahead and renew on time.
  • Faster updates after course completion
    Once you complete a course, your training record is updated quickly and accurately. That means less waiting, fewer follow-ups, and a record that reflects your current qualifications.
  • Official, compliant, and Ministry-accepted
    Your digital ROT is an official document accepted by the province’s Ministry of Labour It’s issued by WHSC, Ontario’s government-designated health and safety training centre—so you can rely on it with confidence.
  • Verified records—added protection against counterfeit cards
    Because the record is tied to a secure system, it reduces the risk of fake or unverifiable cards circulating on worksites. Your certifications can be confirmed as authentic—creating peace of mind for workers, employers, and Ministry inspectors.

    Employers are legally responsible for providing health and safety training or in some cases at least ensuring it has been successfully completed. Documenting their compliance with health and safety law is no small feat, especially for those running smaller businesses. WHSC’s digital solution is designed to reduce administration efforts too. Share your ROT access and they can also track the status of your training and any need for refresher training with you.

How to access your record

As you complete training with us, you will receive your own unique ROT card in the mail. Accessing your record is simple, and you have two options:
  1. Scan the QR code on your ROT card using a phone or tablet. You’ll be taken directly to your training record for quick viewing and sharing.
  2. Or visit our website at whsc.on.ca/rot and enter your member ID and last name to access your training record securely.

Need to show proof of training? It’s easier now

Your record is built for real-world moments: hiring, onboarding, site access, audits, and Ministry inspections. When someone needs confirmation, you can share the QR code or supply your member ID, last name and WHSC ROT web address, so your training can be verified quickly.

A few helpful notes

  • Multiple paper certificates and plastic cards aren’t required when your digital ROT is being used as your official record.
  • If you lose your card, you’re still covered. You can access your record online using your member ID and last name—and you can contact WHSC for a replacement card.
  • Want to control what’s shown in your online record? You can request that only the courses you want displayed appear in your public training record.
  • We are issuing this new ROT card solution to all WHSC training participants going forward. Your existing certificates and cards are still valid with us. But should you want this new documentation method for past training, by all means reach out to us. See below for details.
